Library Holds

DYou can access a particular patron’s hold information or open the Requests (All Holds) list by selecting Circulation > Holds/ILL.

 

To participate in interlibrary loans (ILL), you need to be able to see other library holdings. See Allow library materials to circulate to all patrons in the district.

The Processing Needed icon ( ) appears when:

  • Holds and ILLs need to be approved.
  • Holds are ready to be pulled from your shelves.
  • Transactions such as recommendations, library review comments, MyQuest comments, and digital content uploads need to be approved.
  • Transfers need to be received.

Email Notifications

To receive email notifications for holds and ILLs that need to be processed:

  1. Select Admin > Site Configuration > Circulation sub-tab.
  2. Select the Enable once daily email reminder for Holds and ILLs checkbox.
  3. In the Email address field, enter email addresses; use a semicolon between each recipient.

Note: The Daily Holds Processor job that runs each night sends out the email(s) when there are hold and ILL requests that need processing. To view the Daily Holds Processor job, select Admin > Job Manager.

After retrieving a patron, all the titles that the patron has placed on hold or has reserved appear, along with a copy barcode number (or Any Copy) and the hold status.

Active Patrons

To complete the task for active patrons, select the Only Active Patrons checkbox.

For Local Requests

A

  • Change the priority or expiration date for a Pending hold
  • Delete a Pending hold
  • Change the expiration date for a Ready hold

You can re-activate an expired hold. To do so, open the queue by clicking View icon next to the copy barcode number, and then click Make Active.

The new expiration date is derived from the Pending or Ready Hold Expiration days defined in Admin > Library Policies. You can edit the date, if necessary.

Note: You cannot make an expired reserve active; you must create a new reserve.

In the queue, you can manually delete a request by clicking the delete icon. You can have Destiny automatically delete expired holds after a certain number of days. Choose the settings at Admin > Site Configuration > Circulation sub-tab, Holds/Reserves section, Automatically delete expired holds after ## calendar days checkbox.

  • Delete a Ready hold
  • Delete a reservation (You cannot edit the expiration date; you must delete the reservation and create a new one.)
  • Create a new hold for the title.

You cannot change the status of a hold. Destiny determines the hold status based on the availability of the copies.

For ILL requests:

  • Change the expiration date for a Pending ILL request for your materials.
  • Delete a Pending ILL request for your materials
  • Change the expiration date for a Ready ILL request for your materials.
  • Delete a Ready ILL request for your materials.

Edit a Hold

To edit a ready or pending hold, open the hold queue for the title by clicking the view icon next to the title.

In the queue, you can change the expiration date or revive an expired hold.

Check Out an ILL Copy

Retrieve the patron in Holds/ILL or Patron Status, and then click ILL Checkout.

If ILL Checkout does not appear, make sure, on your Requests list, that you received the copy by clicking Receive.

Edit a District Media Booking Request

To edit a district media booking request, click the edit icon next to a media booking under Media Requests.

On the Booking Request page that opens, you can change the date range for the booking. Make sure to review the Delivery & Pick Up days beneath the calendar. The date range may be changed to conform to the delivery schedule.

Delete a Request

To delete a hold, a declined ILL request, or a declined Media request, clickDelete icon.

Set Up Email Hold Notices

Important: Only the Destiny Administrator can set up an email server. Select Setup > District Options > SMTP. In the SMTP Settings section, click Edit.

Note: An email server must be set up for email options to appear and for the message Click here to email a hold notice to the patron to appear. Also, a link to email hold notices to patrons only appears if at least one email was previously sent from Destiny.

To set up email hold notices:

When you complete these instructions successfully, a link to email hold notices appears on the Library Manager Check In page.

  1. Select Reports > Library Reports > Hold Notices sub-tab.
  2. In the Distributed section, select Via email.
  3. In the Send To section, select Email 1, Email 2, Homeroom, or all three.
  4. When you are done making your selections, click Run Notices. Report Manager opens.

    Note: The Homeroom checkbox is replaced with "No homerooms available" when the following conditions are met: there are no homerooms, no supervisor is assigned to the homeroom, and no patrons are associated with the homeroom.
